CHIPDRIVE Time Recording FAQ
INSTALLATION

Q: How can I be sure that the CHIPDRIVE Time Recording software and the PC time clock will function correctly together?

A: Its best to install both programs in the folder suggested by the installer program. This ensures that both programs work together automatically.

Q: What if I want to install the programs in different folders?

A: You then need to manually establish a connection between the two programs. From the time recording software, select File/Administration/Connect to PC time clock from the menu and choose the appropriate location.

Q: I want all employees to be able to clock in and out at their own workstations since they all have a CHIPDRIVE installed on their computers. Can I setup the time clock software on the network so this is possible?

A: Yes. Assuming you have installed the time recording software in the default location (c:\chipdrive):
  • On main computer, share the C:\ drive as a network drive.
  • Assign this C:\ a letter on subsequent computers (map network drives), for example, 'T'.
  • On all computers, install the PC time clock in the folder "T:\chipdrv".

    Q: Ok, this works but I don't want the entire contents of the main computer's C:\ to be shared over the network and I don't want employees to be able to access the time recording software. What do I do?

    A:
  • On the main computer, install the PC time clock software in a seperate folder from the time recording software, for example, "c:\pcclock".
  • Establish the connection between the programs by selecting File/Administration/Connect to PC time clock from the menu and select c:\pcclock, then subfolder "clock" and confirm.
  • Assign this folder a drive letter on subsequent computers (map network drives), for example, "T".
  • On all computers, install the PC time clock in the root folder "T:\".
    Now you should be able to share just the c:\pcclock folder over the network.

    USING THE PC TIME CLOCK

    Q: How do I clock in and out using the PC time clock?

    A: Simply follow the instructions given to you on the screen. Insert your user card into the CHIPDRIVE when prompted to do so. Your name and status of hours will appear. Complete the clocking by clicking OK andremove your card when clocking has been confirmed.

    Q: I'm supposed to be clocking out but the PC time clock says "Clock In" when I insert my card. How do I change this?

    A: Although usually not neccessary, change the clocking type by pressing the appropriate button (Clock in, Clock out) on the PC time clock. Complete the clocking by pressing OK and remove your card when clocking has been confirmed.

    USING THE TIME RECORDING SOFTWARE

    Q: How do I create a new user card?

    A: Simply choose File/New Person from the menu and fill in the person's details. Insert a user card into the CHIPDRIVE and click "Create User Card" then remove the card when prompted to do so.

    Q: We use the CHIPDRIVE mobile time recording device. How do I transfer data from the device onto the PC?

    A: Use the provided transport card. Just insert the transport card into the time recording device and wait until the data transfer is complete before removing it. Then insert the card into the CHIPDRIVE on the PC and read the data by answering yes to the prompt. The data is then read and assigned to the individual user.

    Q: I want to print out a report of several people. How do I do this?

    A: From the menu, select Reports/Several People then select several of all entries in the complete list. Click on the reports button and choose "Finalize and Print". From the "Finalize to" list, choose the month up to which the data is to be finalized.

    Q: I'm trying to export a report to a text file. I selected this option and it seemed to work but I did'nt get any confirmation of where the file was stored. Where is it?

    A: The file was saved to c:\chipdrv\Timedat\Export. The file names consist of the 4-digit personal numbers, with 2-digits each for year and month followed by ".Txt".

    Q: How can I easily back up all the time recording data?

    A: Simply select File/Create Backup Copy and you're done. You should do this regularly and if possible, store the data onto a floppy or disk on another computer.

    CHIPDRIVE MOBILE TIME RECORDING DEVICE

    Q: How do I set the date and time on the time recording device?

    A: From the time recording software select File/Administration/Time Recording Device - Set Clock. Type the time at which you'll insert a user card into the time recording device. Insert an unused user card into the CHIPDRIVE on the PC and wait until the light on the CHIPDRIVE qoes out. Insert the user card into the time recording device at exactly the time you specified.

    Q: Is there anything special I have to do to clock in or out using the time recording device?

    A: No. It's the same as using the CHIPDRIVE on a PC, just insert your user card and check that the display shows the correct clocking information. If it is correct, simply remove your card. If it incorrect, just re-insert your card again and it should be correct.
